Personal vs Org Media
Every image you create in Geppetto is either Personal (just for you) or Org (shared with everyone in your organization). Here's how to tell the difference — and how to switch between them.
The default: everything starts Personal
When you create a new image, it's saved as Personal Media — only you can see it in the Custom Template Builder, and only people with broader access (admins, designers, managers) can see it in your Media Gallery. You'll see a Personal badge on the image card. To find your Personal images quickly, use the Personal quick filter at the top of the Gallery.
Promote to Org Media to share with your team
Ready for everyone in your organization to use your image? Promote it to Org Media:- Click the three-dot menu on the image card.
- Choose Make Org Media.
Once promoted, the image:
-
Appears in everyone's Media Gallery in your org
-
Shows up for everyone in the Custom Media folder of the Custom Template Builder
-
Gets an Org badge
To find Org images quickly, use the Created by Org quick filter at the top of the Gallery.
Demote back to Personal
Need to pull an image back? Click the three-dot menu and choose Make Personal. The image returns to Personal Media — only you (and higher-access roles) can see it again.
Heads up: If a teammate already added that image to their own Custom Template, their template keeps working as-is. They just won't be able to add it to *new* templates going forward.
Who can do what
The basics for the most common roles:
-
You can always edit, archive, and download your own Media — Personal or promoted to Org.
-
You can always promote your own Personal images to Org, and demote them back to Personal.
-
Sales can see all Org Media plus their own Personal Media. They can edit and archive only their own.
-
Sales (private) can see Org Media plus their own Personal Media. Same edit/archive rules.
-
Admins, Managers, and Designers can see all Org Media and everyone's Personal Media in the Gallery, and can manage images that aren't their own.
-
Want to remove an image from view? Archive it — archived Media stays in your Gallery (in the Archive sub-tab) but won't show up in the Custom Template Builder, so it can't be picked for new templates.

A few good things to know
-
Personal vs Org is about visibility, not ownership. You're always the creator of your own images, even after they're promoted.
-
Other users' Personal images don't show up in the builder. Even with broader access, the Custom Template Builder only shows you your own Personal Media plus Org Media — never other people's Personal Media.
That's it — Personal for solo work, Org when you're ready to share.
