Setting budgets for catalogs, flyers, and Geppetto

Admins can control how many catalogs and flyers each user can create — and how many Geppetto (AI Media) credits each user can spend — by setting individual limits.

This helps manage usage, prevent overages, and ensure fair distribution.

How to Set Catalog and Flyer Budget Limits

  1. Go to the Users tab
  2. Edit a User – Click the three dots next to a user and select Edit.
  3. Set Limits – Adjust the number of Catalogs and Flyers they can create. Leaving it blank means no limit, as assigning 0 will block the user from creating any.
    • Pro tip: Admins can check the Settings tab to see the total allocation.
    • Save Changes – Click Save to apply the update.

Default Settings & Impact of Limits

  • No Limits by Default – Existing users start with unlimited access unless an admin sets restrictions.
  • Personal Limits vs. Organization Limits – A user cannot exceed their own assigned limit. If no limit is set, they can create as many as they want—even if the organization reaches its cap.

Allowing Users to Exceed Organization Limits

  • The Allow the user to exceed the organization's limit toggle enables users to continue creating catalogs and flyers even after the organization's total allocation has been reached.
  • If disabled, users will be restricted when the organization hits its limit, regardless of their personal allowance.

Tracking Usage

In the Users tab, admins can see:
  • The total number of catalogs or flyers a user has created in the current billing cycle.
  • Each user's assigned limit (if any).
This feature helps admins balance resource allocation while allowing flexibility for high-priority projects.

Setting Geppetto (AI Media) credit limits

Geppetto (AI Media) uses a credits model rather than counts of catalogs/flyers — but the admin controls live in the same place.

To enable Geppetto (AI Media) access for a user:

  1. Go to the Users tab.

  2. Click the three dots next to a user and select Edit.

  3. In the Add/Edit User popup, check the Geppetto (AI Media) permission box.

    • By default, the Geppetto (AI Media) checkbox is automatically on for all users in an org with an active Geppetto (AI Media) subscription. You can uncheck it for any user who shouldn't have access.

  4. Click Save.

To set a per-user Geppetto (AI Media) credit limit:

  1. From the same Edit User popup, find the Geppetto (AI Media) credit limit field.

  2. Enter the maximum number of credits this user can spend in the billing cycle. Leaving it blank means no personal limit (the user draws from the org's total).

  3. Click Save.

To track Geppetto (AI Media) usage:

In the Users tab, you'll see a Geppetto (AI Media) Limits column showing each user's credit usage and assigned limit, displayed in the same `set / used` format as catalogs and flyers.

For more on how Geppetto credits work, see How Geppetto credits work.

Quick tips

  • Geppetto (AI Media) credits and catalog/flyer counts are separate. A user's Geppetto (AI Media) credit limit doesn't affect their catalog/flyer limit, and vice versa.

  • Hitting zero credits blocks Geppetto (AI Media) generation. When org credits run out, the Imagine button disables for all users — even those with their own personal limits remaining. Lookbook generation itself doesn't use Geppetto (AI Media) credits, so existing templates and catalogs keep working.

FAQs: What happens to unused catalogs, flyers, and Geppetto credits at the end of a billing cycle?

Catalogs and flyers: Unused allocation expires at the end of each billing cycle. Your full allocation resets at the start of the next cycle.

Geppetto credits: Unused credits roll over to your next billing cycle.

Example: Your cycle ends on October 25 with 3 catalogs, 2 flyers and 50 Geppetto credits unused. The catalogs and flyers expire. The 50 Geppetto credits carry over.

Can we go over our subscription limit?

Yes. Your organization can create more catalogs, flyers and Geppetto items than your subscription includes. Anything over your subscription limit is charged as overage.

Users can also go over the organization's limit. This is on by default, and Admins can turn it off with the Allow the user to exceed the organization's limit toggle.

Tip: If you have catalogs or flyers planned, create them before your renewal date.
